The WYgroup office in Lisbon features several meeting rooms shared by all group agencies. We faced the challenge of creating an app to facilitate room bookings for all Wygroup members. Aiming to improve the reservation in advance, making it as fast and seamless as possible with minimal clicks, we focused on enhancing the experience.

Goal

WYgroup aimed to facilitate the room booking process, so the main challenge was to build a well-designed website and mobile app with intuitive navigation. To do that, we simplified and standardized the app to improve the user experience for all Wygroup members who need to book a room.

Researching and defining

We conducted extensive research and benchmarking to comprehensively understand users’ needs and challenges. Then, we created a Miro board to document valuable insights into user behavior, preferences, and pain points. Together with the Functional Analyst, we meticulously defined the area map and flows, forming the foundation of the information architecture.

Using wireframes, we planned a user-friendly interface tailored to users’ needs on mobile and desktop. We customized the Outsystems user interface kit with the WYgroup branding for this project, selecting the primary components required and applying WYgroup styles. That way, we created a consistent and visually appealing interface that reflects the WYgroup identity.

Iterating

Considering we picked a mobile-first approach, the mobile application underwent different versions and explorations. After constant review and feedback from the client and other team members, we iterated until we reached a third and final version of the mobile screens. 

Then, we started working on the desktop version. Switching to desktop screens was much easier because we had already done extensive work on the mobile version. This way, we reached the final version much quicker.

The QA process

We utilized the Azure DevOps board to manage the Quality Assurance process, implementing a comprehensive test plan to thoroughly examine all flows and provide precise time estimates. Thus, we minimized the risk of overlooking any crucial steps.

Once bugs and tasks were identified, they underwent testing to ensure that they met the Figma specifications and Acceptance Criteria. The assigned developer received detailed feedback to help address any failed tests. After resolving the issues, we thoroughly retested to ensure the task met all requirements and upheld product quality.

The room reservation app developed by WYgroup has significantly improved the user experience and efficiency for all WYgroup members.
